The challenge
As the client roster grew, the back office stopped keeping up. Onboarding was handled ad-hoc over email and looked different every time. Files, briefs and approvals were scattered across tools. Scope and deliverables were tracked largely from memory, invoices went out late, and there was no single view of what was due and who owned it.
What we built

Onboarding on autopilot
A signed contract now triggers the entire setup: the client folder structure is created, the welcome sequence sends, the intake questionnaire goes out and the kick-off call gets booked. Every client gets the same start.

A single hub per client
One view holds contract terms, deliverables, deadlines, key contacts and asset links, pulled from the tools the team already uses. No more hunting through email threads for a brief.

Deadline alerts before things slip
Automated status checks nudge the right person ahead of a deadline rather than after it, so problems surface while there's still time to fix them.

Meeting notes into assigned actions
Calls are transcribed and summarised automatically, then turned into tasks with a named owner and a due date. Nothing depends on someone remembering to write it up.

Invoicing and payment follow-up
Completed milestones generate invoices automatically, and overdue payments get a sequence of polite reminders. Nobody has to send the awkward email.

Paperwork from templates
Proposals, scopes and agreements assemble themselves from reusable templates pre-filled with client details, turning an afternoon of document work into a few minutes.
