The challenge
Bookings came in through DMs, which meant constant back-and-forth about availability, pricing and treatment options, usually answered late at night or between clients. No-shows and last-minute cancellations left gaps in the day with no way to fill them. Infill reminders depended on remembering, and every admin task competed directly with time in the chair.
What we built

A booking assistant that never sleeps
Incoming DMs get an instant reply covering pricing, treatment options, aftercare and location, then hand over a live booking link. Clients get answers at 11pm without anyone typing them.

Self-serve booking with deposits
Clients choose their own slot and pay a deposit up front, which protects the diary against casual cancellations.

Reminders that cut no-shows
Confirmation, 48-hour and same-day reminders go out automatically, with the cancellation window stated clearly every time.

The rebook cycle, handled
Each client gets an infill nudge at the right interval for their set type and last appointment date, rather than whenever it happens to come to mind.

Client records that surface themselves
Allergies, preferred sets, past styles and retention notes are stored and brought up before each appointment, so every client feels remembered.

Aftercare and reviews
Aftercare instructions send automatically once an appointment ends, with a review request following a few days later.

Waitlist auto-fill
A cancellation immediately offers the slot to the waitlist, so gaps close on their own instead of costing a day's income.
